ClientTime ("we", "us", "our") is committed to protecting the privacy of our users. This Privacy Policy explains how we collect, use, store, and disclose personal information when you use ClientTime. It applies to Providers (service providers with a ClientTime subscription) and Clients (students and clients of those providers).
1. Information we collect
From Providers:
Account information: name, email address, business name, timezone
Billing information: processed by Stripe — we do not store card details
Business content: slot schedules, booking records, transaction notes, uploaded logo
Usage data: pages visited, features used, session duration
From Clients (entered by Providers):
Name, email address, phone number (optional)
Session history, attendance records, payment notes
Profile photo (optional, uploaded by provider)
2. How we use your information
To provide, operate, and improve the ClientTime service
To process payments and manage subscriptions via Stripe
To send transactional emails such as booking confirmations
To authenticate users via Clerk
To respond to support enquiries
To comply with legal obligations
We do not sell personal information to third parties.
3. Third-party services
We use the following sub-processors to deliver the service:
Clerk — user authentication and session management
Stripe — payment processing and subscription billing
Resend — transactional email delivery
Infrastructure hosting provider — hosts our application servers and database
Only if you choose to connect them, in Settings:
Twilio — SMS delivery, using your own connected Twilio account
Google — calendar sync, if you connect Google Calendar
Basiq — bank transaction sync, if you connect a bank account
Each sub-processor is bound by data processing agreements and applicable privacy law.
4. Data retention
We retain your data for as long as your account is active. After account termination, data is retained for up to 90 days before deletion, unless a longer retention period is required by law or for legitimate business purposes (e.g. resolving disputes).
5. Security
We implement industry-standard technical and organisational measures to protect your personal information, including encrypted connections (TLS), access controls, and regular security reviews. No system is completely secure — please use a strong, unique password and report any suspected security issues to us promptly.
6. Your rights
Under applicable law you may have the right to:
Access the personal information we hold about you
Request correction of inaccurate information
Request deletion of your personal information
Object to or restrict processing of your information
Receive your data in a portable format
Clients: when you delete your data (available in-app), your contact details — email, phone, and photo — are permanently removed, and can no longer be used to identify or reach you. Your name and session/booking history (dates, attendance, amounts paid) remain in the Provider's records, since Providers have a legitimate need to retain their own business, accounting, and dispute records, consistent with applicable law.

7. Cookies
ClientTime uses session cookies to keep you logged in. These are strictly necessary for the service to function and cannot be disabled. We do not use tracking or advertising cookies.
8. Changes to this policy
We may update this Privacy Policy from time to time. We will notify you of material changes via email. The "Last updated" date at the top of this page reflects the most recent revision.
